What’s the best software for a sunbed salon?

Covered Beauty is booking software for UK sunbed salons. It sells minutes and courses, gives each session length its own price, books beds with cleaning time after every session, takes walk-ins at the desk and lets clients book online and pay at the salon. Pro is £14 a month for an owner on their own and the Team plan is £19.99 when desk staff need their own logins. Beds aren’t counted, and you can cancel any time. If you want your software to start the beds through a T-Max or Sigma timer, or to run a till, a tanning system such as Salon Tracker is the better fit.

We make Covered Beauty, so the other sunbed tools are below with their own prices, each linked to the page it comes from.

What it does for a sunbed salon

Minutes and courses

Sell minutes packages at your prices, like 60 minutes for £35. A package can be for one type of bed and have a number of days to use it in. Each client’s minutes are kept for you, and a session uses the ones that run out soonest first.

A price for each length

Give each bed up to 12 session lengths, each with its own price, or set a price a minute and let us fill them in for you to check. A fixed 10-minute booth is just 10 minutes.

Beds and cleaning time

Add each bed and booth with its type, high-powered lie-down and stand-up included, and its cool-off time. Bookings leave that time to clean the bed between sessions, and the bed calendar shows every bed side by side.

Walk-ins at the desk

Tap a free time on the bed calendar, find the client by name or mobile, or add someone new with a name and a mobile, plus their date of birth from their photo ID for a UV bed. Pick the length, then use their minutes or take payment at the desk.

Changes at the desk

Make a session longer or shorter, or move it to another time or bed. Minutes come off or go back on their balance, and you can add or take off minutes by hand.

Book online, pay at the salon

Clients join from your booking page, which shows your beds, lengths, prices and packages, then book a bed with their minutes or pay at the salon. Once Stripe is connected on Payouts, they can buy minutes and pay for a session by card too, straight into your own Stripe account.

The date-of-birth check

Nobody can book a sunbed without a date of birth showing they’re 18 or over. Someone who joins online types their own, so until you’ve seen their photo ID, their record says Check ID and the bed calendar marks their sessions with a red ID.

Loyalty and reviews

Clients earn loyalty points on the packages they buy, and you can add or take off points by hand. Bring your reviews across from Fresha, checked by you before they show.

Reports

See the packages you’ve sold, online and at the desk, the minutes you’ve added and the sessions paid by card.

What it looks like on your phone

The bed calendar on a phone: Bed 1, Bed 2 and a booth side by side, each session showing its start time and the client’s first name, a red ID badge on a client whose photo ID still needs checking, and the cleaning time after each session shaded.

A bed on the Beds page with its cool-off time and its lengths and prices: 3 minutes £3.00, 6 minutes £5.00, 9 minutes £7.00 and 12 minutes £9.00, with Add a length and Fill by the minute.

What it doesn’t do

  • It doesn’t start beds or connect to T-Max or Sigma timers.
  • It doesn’t run a till for lotions and other retail.
  • It doesn’t open doors or do fingerprint check-in.
  • It doesn’t check ID itself. You do, and a client who joined online shows Check ID until you’ve seen their photo ID.
  • It doesn’t send a consultation form with a sunbed booking. Hand one over on your tablet, or send a link to fill in on their phone.

Sunbed rules in England, Wales, Scotland and Northern Ireland

These are the rules as the law sets them out, not legal advice. Your council enforces them, so check with its licensing team what applies to your salon, including any licence conditions.

England

Nobody under 18 may use a sunbed on your premises, be offered one, or be in the sunbed area unless they work there. The law doesn’t say someone must be on the premises today, but the government consulted in 2026 on requiring trained staff to be there and check ID, possibly from 2027, and some councils, such as London boroughs that license sunbeds, already require staff in their licences.

Read it: Sunbeds (Regulation) Act 2010 and the government’s announcement, 22 May 2026.

Wales

The same under-18 rules as England. A supervisor must be on the premises whenever someone wants to use or is using a sunbed. Each client gets the official health information every time, an A3 notice goes up where people come in, eye protection is made available, and no other material about the health effects of sunbeds may be given out or put up, apart from relevant health and safety information.

Read it: Sunbeds (Regulation) Act 2010 and the Wales Regulations 2011.

Scotland

Nobody under 18 may use a sunbed. Someone from the salon must be on the premises whenever a sunbed is in use, each client gets the official information before each session, and an A3 notice goes up.

Read it: Public Health etc. (Scotland) Act 2008, Part 8.

Northern Ireland

Nobody under 18 may use a sunbed or be in the sunbed area. Someone from the salon must be on the premises whenever a sunbed is in use, each client gets the official health information every time, an A3 notice goes up, eye protection is made available, and no other statements about the health effects of sunbeds may be given out or put up.

Read it: Sunbeds Act (Northern Ireland) 2011.

Questions from sunbed salons

Can I have 5 session lengths, each with a different price?

Yes. Give each bed up to 12 lengths, each with its own price, like 3 minutes £3, 6 minutes £5, 9 minutes £7 and 12 minutes £9. Or set a price a minute, the shortest and longest lengths and the steps between, and we fill the prices in for you to check. Clients see each length with its price when they book online, and you see the same at the desk.

Can I set up 7 packages for each bed?

You can have as many minutes packages as you like, at your prices. A package is for any bed or for one type of bed, like lay-down only, rather than for one bed in particular, and can have a number of days to use it in. If a high-powered bed’s minutes should cost more, give it the high-powered lie-down or stand-up type, with its own prices and its own packages.

My beds are set up as staff on Fresha. Do beds count as staff here?

No. Beds aren’t people here and aren’t counted on any plan, so add as many as you have. Pro is £14 a month with one login, for an owner running the salon on their own. If your desk staff need their own logins, the Team plan is £19.99 a month for up to five people.

Can clients book a course online but pay at the salon?

Clients can’t order a course online to pay for later, but they can book a session online and pay for it at the salon, with no minutes needed. It’s on to start with, and you can switch it off on Beds. Each client can have 2 unpaid sessions booked at a time. Sell the course at the desk, as cash, card or a bank transfer, and Use their minutes takes the session they booked out of it. Once Stripe is connected on Payouts, clients can buy courses by card online too.

Can I change a client’s minutes at the desk if they want more or less?

Yes. On their session, Change length makes it longer or shorter. If they’re using minutes, the difference comes off or goes back on their balance. If they’re paying at the salon, the price changes to the new length’s. If they paid by card, a longer session leaves the extra to pay at the desk, and for a shorter one you refund the difference from the appointment. You can also move a session to another time or bed, and add or take off minutes on their record by hand.

Do sunbed clients get loyalty points, and can I add points by hand?

Yes, once loyalty is on. Clients earn points on a minutes package when they buy it, online or at the desk, and on sessions paid at the salon, like any visit. Sessions paid with minutes don’t earn again, because the points came with the package. On a client’s record you can add points or take points off by hand, with a reason.

Can I bring my Fresha reviews across?

Yes. On Reviews, paste in your salon’s reviews from Fresha or add screenshots of them. We read the name, stars, date and words, and you check every one before saving. They show on your booking page as from Fresha, with their date, added by the salon, kept apart from reviews by clients who booked with you here.

Can I run an unstaffed sunbed salon? How do age checks work with nobody there?

Covered Beauty doesn’t check ID itself. The salon does. A client can book once they’ve given a date of birth showing they’re 18 or over, and you’re reminded to check their photo ID at their first visit (Check ID on their record, and a red ID on the bed calendar). It doesn’t open doors or start beds. Wales, Scotland and Northern Ireland require someone on the premises whenever a sunbed is in use. England doesn’t today, but the government consulted in 2026 on requiring trained staff and ID checks, possibly from 2027, and some councils already require staff in their licences. Check with your council’s licensing team.

Does it work with T-Max or Sigma timers?

No. Covered Beauty books beds and keeps track of minutes, but it doesn’t start beds or connect to bed timers, and it doesn’t run a till. If you need those, a tanning system that lists timer links, such as Salon Tracker, is the better fit.

What does it cost, and is there a contract?

Sunbeds come with Pro and the Team plan. Pro is £14 a month, with one login and 150 texts a month included. The Team plan is £19.99 a month for up to five people, with 300 texts. Beds aren’t counted, there’s no fee on bookings and no contract: it’s monthly and you can cancel any time. Your first 7 days are free, with no card needed to start.
