Terms of service

These terms govern your use of the Covered Beauty platform (“Service”), operated by HAMR Ltd, a company registered in England and Wales (Companies House No. 17190046), with its registered office at 25 Lowther Street, Whitehaven, CA28 7DG (“we”, “us”, “our”).

By creating an account or using the Service, you agree to these terms. If you do not agree, please do not use the Service.

Covered Beauty provides online booking, payment processing, client management, communication tools and a customer wallet portal for salons, clinics and tanning shops. We act as a data processor on behalf of salon owners (data controllers) for client personal data.

• You must provide accurate information when creating an account
• You are responsible for maintaining the security of your account credentials
• You must not share your account with unauthorised individuals
• Salon owners are responsible for their own compliance with applicable laws, including obtaining client consent for data processing

Solo plan: £9/month, for a single practitioner, unlimited bookings.

Salon plan: £19/month, for teams (up to 5 members), all Solo features plus custom domain, smart rebooking, win-back tools and priority support.

If you choose to be billed annually instead of monthly, you receive two months free (equivalent to a discount of approximately 16.7% on the headline monthly price).

The price you see on our website is the price you pay each month, the headline figure is the total billed. We do not charge per-booking fees or take a commission on your revenue. Payment processing fees charged by Stripe are separate and governed by Stripe’s terms.

You may cancel your subscription at any time and your account will continue until the end of the period you have already paid for. No refunds are provided for partial months.

The Service allows salons to save a client’s card (“card on file”) via Stripe and to charge it later without the client being present. What a saved card may be charged for depends on how it was saved:

• When the client pays a deposit online: no-show fees, late cancellation fees or the balance of their treatment, in line with the salon’s published cancellation policy, which the client agrees to when booking.
• Through a secure confirmation link the salon sends for a booking the salon made: only the no-show fee shown to the client, and the same fee if they cancel with less notice than the salon’s cancellation window. Any other charge needs the client’s separate agreement.

We facilitate this through Stripe’s “off-session” payments feature, which is PSD2 / Strong Customer Authentication compliant. Specifically:

• The client’s card details are never stored on our servers. They are held by Stripe, a PCI-DSS Level 1 certified payment processor.
• The client provides explicit written consent via a tickbox before their card is saved, which we record against the booking for audit purposes, for a confirmation link, including the fee and the exact wording they agreed to.
• The client may withdraw consent at any time by emailing the salon, which removes the card from file and prevents any future charges.
• The salon is responsible for only making charges that are consistent with its own published cancellation and fee policy, and for communicating any such charge to the client before or at the time it is taken.
• If the client’s bank requires Strong Customer Authentication for a particular charge, the charge will not go through without the client authenticating it themselves. Nothing prompts the client for a charge made without them present, so if this happens the salon will need to ask the client to pay another way.

Covered Beauty is not a party to the charge. The salon is the merchant of record via its own Stripe account, and the client is the payer. Covered Beauty provides the software that co-ordinates the authorisation and the charge.

As between you (the salon owner) and us:

• You are the data controller for your clients’ personal data
• We are the data processor, acting on your instructions
• Our processing activities are described in our Privacy Policy and Data Processing Agreement
• You must ensure you have a lawful basis for processing your clients’ data

You must not use Covered Beauty to:

• Process data for purposes other than managing your salon or clinic
• Store data that you do not have a lawful basis to process
• Send unsolicited marketing communications without consent
• Attempt to access other salons’ data
• Reverse-engineer, decompile, or disassemble the Service
• Use the Service in any way that violates applicable law

The Covered Beauty platform, including its design, code, and branding, is owned by HAMR Ltd. You retain ownership of all data you upload to the Service. We do not claim any rights over your content.

To the maximum extent permitted by law:

• The Service is provided “as is” without warranties of any kind
• We are not liable for indirect, incidental, or consequential damages
• Our total liability is limited to the fees you paid in the 12 months preceding the claim
• Nothing in these terms limits liability for death, personal injury, or fraud

Either party may terminate the agreement at any time. Upon termination:

• You may export your data within 30 days
• After 30 days, we will delete your data (subject to legal retention requirements)
• Financial records will be retained for 7 years per HMRC requirements

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

We may update these terms from time to time. We will notify you of material changes via email at least 30 days before they take effect. Continued use after that date constitutes acceptance.
