Booking software
for aesthetics clinics.

Medical history and consent signed before the client arrives, kept safe for years, and deposits on the treatments that need them. Here’s what to look for, how Covered Beauty handles it, and when clinic software is the better fit.

What is the best booking software for an aesthetics clinic?

An aesthetics clinic needs booking software that gets medical history and consent signed before the appointment, keeps it with the client record and takes a deposit for longer treatments. Covered Beauty, which we make, does that from £9 a month with no commission, and suits independent practitioners and small clinics. If you need before-and-after photos in the same system, clinic software such as Phorest or Pabau lists them, and Pabau also lists e-prescribing.

We make Covered Beauty, so we’ve also set out where other software is the better choice. Every figure about another provider links to its own page, with the day we checked it. Nothing here is medical or legal advice: check your forms against your insurer’s and your professional body’s requirements.

What does an aesthetics clinic need from booking software?

  • Medical history before the appointment. You want to know about medication, allergies and conditions before the client sits down, not while they’re in the chair.
  • Signed consent you can find years later. If a question is ever raised about a treatment, you need the exact form the client signed, and when.
  • Health information kept private. Medical answers are special category data under UK GDPR, so only the right people should see them.
  • Deposits that match the treatment. Nothing on a free consultation, more on a long or expensive treatment.
  • Aftercare that fits. Filler, anti-wrinkle and skin treatments each need their own advice.

How does Covered Beauty handle medical and consent forms?

Start from a ready-made form and make it your own. The injectables and aesthetics form, for anti-wrinkle injections, dermal filler and skin boosters:

  • has a notice about the under-18 law and asks whether the client is under 18
  • asks for an emergency contact and their GP
  • asks about pregnancy, medication, bleeding disorders and recent treatments
  • asks about allergies to local anaesthetics such as lidocaine, and to hyaluronic acid
  • explains the risks, including rare serious complications, and asks the client to confirm they understand them
  • has an optional tick for before-and-after photos for their clinical record

There are forms for dermaplaning, facials and skincare, LED light therapy, semi-permanent makeup and electrolysis too.

Link each form to the treatments it covers. The client gets a secure link in their booking confirmation, a reminder 48 hours before if it isn’t done, and signs on their phone. The signed copy stays with their record. Each signed form keeps the exact questions the client saw, so years later you can see what they were asked and what they said. Answers are kept for 7 years from the appointment date. Staff only see answers if they have the Forms permission.

Products and batch numbers

Under What was used on each appointment, record the product, batch number and expiry. They show on the client record and in your data export, so you can trace a recalled batch.

Bookings, deposits and aftercare

Offer a free consultation as its own treatment with no deposit, and take a fixed amount or a percentage on the treatments that follow. Deposits go straight into your own Stripe account, with no commission to Covered Beauty. Clients who pay a deposit online save their card, so you can charge your no-show fee if they don’t turn up, in line with your terms.

Switch on aftercare emails and each category of treatment can have its own advice, so filler clients get filler aftercare. If you work from your own clinic and visit another on certain days, add both as venues and clients only see the times you’re at each.

Solo is £9 a month for one practitioner. Salon is £19 a month for up to five. You get 7 days free to try it, with no card needed to start. See both plans.

What doesn’t Covered Beauty do for clinics?

Covered Beauty is booking software with forms and client records, not a clinical records system. It doesn’t:

  • store before-and-after photos in the client record
  • handle prescribing or keep prescriber records
  • do face mapping or mark-up

If you need those in the same system, the clinic software below is worth a look.

What are the other options for aesthetics clinics?

Phorest

Phorest says its plans are for growing salons and aesthetic clinics with three or more staff, and prices them by quote. Its pricing page lists storing before-and-after pictures and patch tests in the client record, and consultation forms sent before a visit from its Grow plan. Face mapping is an optional extra. It has no free trial and offers a demo instead. Covered Beauty vs Phorest.

Pabau

Pabau is clinic software priced by the number of users, with Solo, Team, Medium, Group and Enterprise plans. It says every plan includes clinical records and forms, documents and photos, and its pricing page lists e-prescribing and photo comparison among its clinical tools. Prices beyond Solo come through a demo.

Timely

Timely suits salons, spas and clinics with a team. It bills weekly, from £4 a week, with the bill changing with the bookings you take, and every plan includes unlimited team members. Consultation forms sent before an appointment start on its Boost plan. Covered Beauty vs Timely.

Questions from aesthetics clinics

What is the best booking software for an aesthetics clinic in the UK?

An aesthetics clinic needs booking software that gets medical history and consent signed before the appointment, keeps it with the client record and takes a deposit for longer treatments. Covered Beauty, which we make, does that from £9 a month with no commission, and suits independent practitioners and small clinics. If you need before-and-after photos in the same system, clinic software such as Phorest or Pabau lists them, and Pabau also lists e-prescribing.

Can clients complete a medical history form before an anti-wrinkle or filler appointment?

Yes. Link a form to the treatment and the client gets a secure link in their booking confirmation, with a reminder 48 hours before if it isn’t done. They sign it on their phone, and the signed copy stays with their record. Covered Beauty’s ready-made injectables form asks about medical history, medication, allergies to local anaesthetic and hyaluronic acid, and whether the client is under 18.

How long does Covered Beauty keep consent forms?

Medical and consent form answers are kept for 7 years from the appointment date, in line with UK aesthetics insurance and clinical-records norms. Each signed form keeps the exact questions the client saw, so you can always see what they were asked and what they said.

Does Covered Beauty store before-and-after photos?

No. The client record holds treatment notes, signed forms, visit history and the products and batch numbers used at each visit, but not clinical photos. The injectables form can ask the client’s consent to photos, and you keep the photos elsewhere. If you want them in the same system, Phorest and Pabau list photos among their features.

Can I offer free consultations?

Yes. Add a consultation as its own treatment with no deposit, and set a deposit, a fixed amount or a percentage, on the treatments that follow.
